Pick one repeated problem
Start with a task your team already understands: locating a policy, preparing a document summary or drafting a routine handoff. A clear task makes it easier to compare the current process with the proposed experience.
Bring representative examples
Use material you are allowed to share. Include both ordinary work and difficult examples. Agree what a useful result looks like and where a person must review it before it is used.
Compare value and effort
Review output quality, completion time, cost and failed tasks together. A convincing demonstration is a starting point; a scoped user trial helps show whether the tool belongs in daily work.
Decide the next investment
At the end of the trial, review the results and open issues. You can refine the scope, proceed to a production system or stop. Agree ownership of the work and the support needed before expanding.
